We are seeking a highly organized and proactive Part-Time Project Coordinator to support project operations, vendor management, procurement activities, and financial administration. This role is ideal for a professional who thrives in a fast-paced environment and enjoys working across multiple functions, including contract management, budgeting, vendor relations, and invoice processing. The successful candidate will play a key role in maintaining our vendor knowledge base, supporting procurement contract execution, tracking project budgets, and ensuring timely payment of vendor invoices while building strong relationships with internal and external stakeholders.

Location: Fully onsite in Atlanta, GA-Airport Area
Contract Length: Immediate until the end of the year with possibilities to extend into Spring 2027

Key Responsibilities
Vendor Management & Knowledge Base
- Maintain and update a centralized vendor knowledge base, including vendor records, contracts, performance documentation, and contact information.
- Research and identify qualified vendors for project and operational needs.
- Assist with vendor onboarding, compliance reviews, and relationship management.
- Monitor vendor performance and maintain accurate procurement documentation.
Procurement & Contract Administration
- Coordinate the preparation, review, and execution of procurement-related contracts.
- Track contract renewals, deliverables, and key milestones.
- Support sourcing activities by gathering vendor quotes and comparing proposals.
- Ensure procurement activities align with organizational policies and procedures.
Budget & Financial Management
- Assist with project budget tracking, forecasting, and reporting.
- Monitor expenditures and identify budget variances.
- Prepare financial summaries and project expense reports.
- Maintain accurate records of project-related financial transactions.
Invoice Processing & Payment Coordination
- Review and process vendor invoices for approval and payment.
- Coordinate with finance and accounting teams to ensure timely payments.
- Resolve invoice discrepancies and respond to vendor payment inquiries.
- Track purchase orders, invoices, and payment status.
Project Coordination & Stakeholder Engagement
- Support project planning, scheduling, and execution activities.
- Coordinate meetings, prepare agendas, and document action items.
- Track project deliverables and deadlines to ensure successful completion.
- Build and maintain positive relationships with vendors, contractors, and internal teams.
- Represent the organization in vendor meetings, networking events, and project discussions.
Required Qualifications
- 2-3 years of experience in project coordination, procurement, vendor management, contract administration, or related fields.
- Experience supporting procurement contracts and vendor relationships.
- Knowledge of budget tracking, invoice processing, and financial reporting.
- Strong organizational skills with exceptional attention to detail.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook, Teams).
- Excellent verbal and written communication skills.
- Ability to manage multiple priorities and meet deadlines independently.
Preferred Qualifications
- Associate's or bachelor's degree in business administration, Project Management, Supply Chain Management, Finance, or a related discipline.
- Experience using procurement, contract management, ERP, or project management systems. Such as MS Project.
- Understanding of procurement and contract compliance processes.
- Strong networking and relationship-building abilities.
